Using Form Responses with Flows

You can customize your automated flows using form responses.

  • Include form responses in messages: Include a form response in a flow message by using a merge tag. For example, if a client submits feedback on a form, send the feedback to an internal email address.

  • Set up a time delay based on the form response: Set up a time delay in a flow based on the form response. For example, if a staff member selected 6 weeks on a client’s appointment summary form, send the client a rebooking reminder in six weeks.

  • Send different messages based on the form response: Send different flow messages based on the form response by using a filter. For example, if a staff member selected Texture on a client’s skincare consultation form, send the client product recommendations for treating uneven skin texture. If the staff member selected Inflammation, send the client product recommendations for treating skin inflammation.

Using form responses with flows

To use form responses with flows, begin by setting up the form template.

When setting up a form template, you can enable the Available in flows toggle for specific form fields.

  • When the Available in flows toggle is enabled for a form field, that form response can be used with flows.

  • The Unique name will be the name of the filter and merge tag in the flow.

To create a flow based on a specific form response, you can use the following form fields:

  • Dropdown

  • Multiple Choice

  • Choose One

  • Toggle

To create a flow based on whether a form field was filled out or left empty, you can use the following form fields:

  • Email

  • Phone Number

  • Short Answer

  • Long Answer

  • Signature

When you’re finished setting up the form template, use the Form submitted trigger to create custom flows.
